Privacy Policy

Last updated: September 2026

Dog Hotel by Woofland respects your privacy. This policy explains what information we collect through doghotel.co.nz and our services, why we use it, how we protect it and the choices available to you.

1. Information we collect

We may collect information you provide directly, including your name, email, phone number, address, dog details, booking dates, dietary information, behavioural information, allergies, health conditions, medication instructions, vaccination records, uploaded certificates and other information needed to assess or care for your dog.

We may also collect basic technical information when you use the website, such as browser type, device type, IP address and security or diagnostic information generated by our hosting or analytics systems.

2. How we use information

  • to respond to enquiries, assessment requests, booking requests and facility-tour requests;
  • to assess suitability and provide safe dog-care services;
  • to maintain vaccination, health, medication and behavioural records;
  • to communicate about bookings, service changes, payments, incidents or care updates;
  • to operate and secure our website, customer portal and internal systems;
  • to send Woofland news, updates and marketing where you have consented or where permitted by law.

3. Vaccination and health documents

Vaccination booklets, certificates and other dog-health records uploaded through the website are used for service eligibility, biosecurity and care planning. These files may be forwarded to authorised Woofland team members and stored with your customer or pet record.

4. Sharing information

We may share information with service providers that help us operate the business, such as our website host, email provider, customer-portal provider, payment provider, professional advisers or veterinary providers where treatment is required. We may also disclose information when required by law, to protect safety, or with your consent.

We do not sell personal information to advertisers.

5. Customer portal and third-party services

Our customer portal is operated using third-party technology. Information entered into that platform is processed under the provider's own security and privacy arrangements as well as Woofland's obligations under New Zealand law. If the technology provider changes, this website may continue to refer to it simply as our "customer portal".

6. Marketing and contact list

Where a form states that submission includes joining Woofland's contact list, we may use your contact details for service updates, news and marketing. You can unsubscribe from marketing at any time using the unsubscribe method in the message or by contacting us. Service communications related to an active booking or your dog's care may still be sent where necessary.

7. Cookies and website technology

The website may use cookies, local storage or similar technologies for essential functionality, security, preferences, performance measurement or analytics. You can control many cookies through your browser settings, although disabling some technologies may affect site functionality.

8. Retention

We keep personal information only for as long as reasonably required for the purpose it was collected, to provide services, manage legal or accounting obligations, resolve disputes, maintain safety records or comply with applicable law. Health and vaccination records may be retained as part of your dog's service history.

9. Security

We use reasonable administrative, technical and organisational safeguards to protect personal information. No internet transmission or storage system can be guaranteed completely secure, so we cannot promise absolute security.

10. Access and correction

Under the Privacy Act 2020, you may have rights to request access to personal information we hold about you and to ask for corrections. Contact us using the details below and we may need to verify your identity before responding.

11. Children

Our services are intended for adult dog owners and authorised guardians. We do not knowingly collect personal information from children for marketing purposes.
